ProvideAccess is committed to maintaining the confidence and trust of visitors to our Web site and protecting all information that is provided to us by our clients and stored in our secured archive. 

ProvideAccess maintains two different classes of Web sites. Our informational Web site is www.provideaccess.com. We also maintain a number of archive distribution Web sites for our clients and will differentiate between these two classes of sites in this policy.

We will not obtain personally identifying information about you when you visit our site www.provideaccess.com unless you choose to directly provide such information to us when contacting us via e-mail. We use this personally identifying information to process your request and, when applicable, respond to you. We will not sell or distribute personally identifiable information to anyone outside of ProvideAccess unless required to do so in accordance with law, regulation or legal process.

You can visit our company Web site www.provideaccess.com without providing us with any personal information to review information regarding about ProvideAccess. However, visiting our archive Web site(s) requires prior authorization for authentication.

You may review our Security Discussion Page, which details the use of encryption, secure facilities, organizational controls, etc.

While we strive to protect all information we receive online, unlike our archive distribution sites that are encrypted via Secure Socket Layer (SSL), www.provideaccess.com does not transmit encrypted information nor can we guarantee the security of any information you transmit to us via www.provideaccess.com, and you do so at your own risk.

Image Archive Review Sites

At ProvideAccess, protecting customer information stored in our archive and made accessible via the Internet is paramount.

ProvideAccess is in the business of archive management and image capture services. We have a long-standing policy of protecting customer information both electronic and analog (paper documents in our office for capture services).

Our privacy policy applies to private information ("non-public information") that has been provided to us by, or that we learned from other sources about, our customers, our customers' customers, former customers and individuals who contact us about becoming customers. This policy applies not only to transactions reviewed on-line, but also to information you provide us through written files, by telephone, and/or when you send us E-mail.

All archive information transmitted to our clients via our Image Archive Review sites is secured behind multiple layers of firewalls. All information transmitted out is via SSL (128-bit cipher key with Verisign Certificate). All information transmitted in is by private lease line or by VPN tunnel between ProvideAccess and our customers.

Collection and Retention of Non-Public Personal Information – We collect and retain information about you to identify and communicate with you, to provide you with products and services you have requested, to help us respond to your questions, and to inform you about other archive and capture services that may be of interest to you.

We collect non-public personal information about you and your customers, including such things as processing volume, usage patterns, in-clearing information, email addresses and phone numbers from the following sources:

• Information we receive about you and your customers identity, such as your company name, name, address, social security number, and driver's license number, check account numbers;
• Information that we receive from you on archived checks and documents;
• Information we receive from you regarding volumes of documents and average transaction amounts; and
• Information we receive from the ongoing daily interaction required to serve you.

Disclosure of Non-Public Personal Information to Non-Affiliated Third Parties – We may share all of the information we collect about you, as described in the Collection and Retention of Non-Public Personal Information section above, with companies that are not our affiliates only in the following circumstance: 

• when required by applicable law
• received consent from the customer
